Coordinator, Development Events and Volunteer Services
Description of Position:
You will work on a variety of development related projects, but primarily focusing on the administration of the department, including managing the department's general ledger, processing gifts for all fundraising events and coordinating donor acknowledgements. Event Projects include: Maintaining invitation lists, revenue spreadsheets, database records, and files through the database system Tessitura (and when needed, Excel). Reconcile event budgets after they take place. Assist on mailing (with volunteers, depending on its size) for various events, which includes renewal and solicitation mailings, invitations and confirmation packets. Coordinate event receivables; working collaboratively with the Gift Processing and Box Office departments to process gifts. Coordinate event donor acknowledgements and confirm the appropriate process for tax receipt distribution. Prepare, with the assistance of the intern, any needed on site materials, including nametags, place cards, etc. Provide assistance on other related projects and events, as determined by Director of Development Events and Volunteer Outreach. Overall Department: With input from appropriate staff, prepare and manage the event and volunteer annual budgets. Serve as liaison to Business Office regarding financial matters and on proper reporting. This includes doing monthly checks against general ledger accounts to make sure budget is accurate. Maintain the department calendar. Work with other department colleagues on accurate rsvp tracking, list extraction, and donation processing with Tessitura, the BSO's database system. Assist in any needed post-event follow up with donors, vendors, etc. Additional duties and events as may be required. Qualifications: College degree or equivalent. Experience in office procedure, data management and software applications. Two years of administrative experience in a fast-paced environment is required. Proven attention to detail required. Strong administrative and organizational skills and the ability to handle detailed work accurately and independently. Ability to prioritize and handle multiple tasks under pressure. Experience with special events and an understanding of fundraising principles a plus. A pleasant, friendly and confident telephone manner. This position requires some nights and weekends.
